Step 1: On site pre-event "Rider Safety Check"

  1. Verify that rider has all required PPE (Personal Protective Equipment) and it meets sport & industry specs.
  2. Require insurance company waiver (provided by company) certifying that participant has read and understands the information contained thereon. A special form is required for minors (under age 18). Both parents should sign for the minor youth or have a notarized statement from the absent parent if only one is in attendance. It is important BOTH parents have acknowledged permission for the youth to assume the risks as worded on the waivers.
  3. Have ample signs that display the rules and conduct expected and are placed in full view and mentioned throughout the day. At minimum upon entry to the facility, while signing in and at the riders meeting.

Step 2: Course pre-event safety check

  1. Crowd-protection barricades and/or fencing is properly installed and strategically located for maximum protection with minimum distances of 30 feet or more. Fencing needs to be 48” high or more and continuous from the ground up. Roping, Banners, and hay bales do not count as fencing.
  2. Safety and warning signage is properly installed and properly located for maximum crowd & rider protection. Clear directional flow and slow speed signed are indicated in pit and on non-track or competition areas. Directional flow signing and ample event management and communication is essential to conduct a safe event for the patrons.
  3. 1st aid station is properly supplied, staffed & strategically located. If wheel-to-wheel racing, an on-site professional ambulance and medical crew is a necessity.
  4. A dedicated “safety” cell phone or landline is provided for all 911 emergencies.
  5. High hazard points on course get extra safety analysis by management.
  6. Allow for wider track distances in switchback turns or on large jumps that alternate lines can be negotiated. Provide track flaggers and course marshals, properly trained, available and in communication with the event manager.

Step 3: Safety inspection

  1. Brakes and cables are working properly at onset of event.
  2. Main components of machinery used in event is visually checked for proper working order.
  3. Steering mechanism in proper working order – throttle cable returns properly.
  4. Tires are appropriate for the event & properly inflated by visual observation.
  5. Rider has the appropriate gear and is visually sound. Helmet and gear is not worn out and appears to fit the rider correctly.

Pre-event Environmental Protection Notification & Instructions

  • Oil/Fuel Safety Precautions
  • All oil/fuel containers must meet code
  • Secure fuel tanks on any vehicle used to transport fuel
  • Secure fuel caps on transport tanks and OHV’s
  • Notify event authorities in event of oil/fuel spill
  • No smoking permitted while fueling or in areas of fuel tanks
  • Notify event authorities in event of oil/fuel spill for proper containment & clean-up
  • Safely contain & clean up oil/fuel spill if qualified

 

Please clean up the area you have used during the event; i.e.,

 

  • Properly dispose of all trash & recyclables
  • Put out all grills and/or campfires & thoroughly douse all coals
  • Put out all smoking materials
  • Help nature restore the facility for future events

Substance Abuse / Zero Tolerance Policy

A serious danger to any event is alcohol and other types of paraphernalia. Make sure a sign is posted in the entrance to any event stating the Zero Tolerance Policy .Have one person in charge of patrolling the pit area specifically looking for drugs and alcohol use.

  1. Member clubs or promoter should create & endorse their own alcohol / substance abuse “Policy Statement”
  2. Institute a “reasonable cause” testing policy. Such policy would require mandatory testing if a “reasonable person” believes a rider to be under the influence. Refusal to submit for testing would result in disqualification from the event, ejection from the premises, and loss of club & state association membership.
  3. Communicate with local authorities on how to hold a responsible event, and make an action plan in case substances are found.

We reserve the right to decline an event based on improper or unsafe provisions, thus the explanation of how the safety plans will be conducted are critical. Expense constant administration fees and certain states having surplus lines tax that are extra Insurance company approved waivers & releases required.
